2017 Annual Meeting
Thank you to everyone who attended our annual meeting in December 2017. It is always nice to see everyone, catch up and celebrate the end of another fun year. At the meeting, we were happy to report that our club continues to thrive, our facilities remain in good shape and our budget is balanced in large part because our membership numbers continue to climb. One major piece of new business voted on at the meeting was to raise the annual dues by $50.00 per household. This increase will help fund the continued operations of the pool, as well as help us begin to save for future renovations. The updated fees will be reflected in your 2018 membership invoice, now available online. Honorary members will have a $25.00 increase, per their membership agreement. The membership also voted to fill the positions of Vice President, Treasurer, Grounds, Swim Team and Tennis.

Facilities Chair and Assistant Member Chair Needed
The HMSTC Board is currently looking for a member to fill our Facilities Chair position. If you are interested in volunteering and joining the Board, please contact Brian Wild as soon as possible. As we head into our biggest recruitment and enrollment period, it is critical that we identify a member to take on this leadership position and help continue to grow our HMSTC family.
In addition, we are seeking an assistant Membership Chair to support our membership efforts this spring and throughout 2018. This role has a variety of duties including interfacing with new and prospective members, supporting the Membership Chair and Board including joining our monthly Board Meetings, and overall helping to strengthen our membership and community
Looking for Volunteers
For several of our board members, 2018 will be their last year. In anticipation of this board turnover I would like to expand our current board meetings to include any member interested in participating in our meetings, and learn the ropes and roles so that in 2019 we can have a smooth transition for several new board members including a new incoming president. Our board meetings are typically held at 7:00PM on the second Monday of every month. These meetings are fun and social events. Most of you are aware that last year we rolled out a new web-based membership interface, known as Member Splash. The new system replaced our old paper-driven process for membership information, and invoices. The new system allows you to manage your own account, update your membership profile, family information, contact information, and order packs of guest passes at a discounted rate. The system also allows members to pay their annual dues and event fees online with a credit card or PayPal account.
Please log-in to your account as soon as possible and verify all of your account information and make any corrections needed. Please double check the names and birth dates of your children. You can also add additional email addresses for those that want to receive notices from us. You may need to delete family members who are no longer active or add children/new members to your invoice. Please take a moment to include Emergency Contact information as well. We are required to have this on file. April 22nd Dues Deadline – pay by April 14th to avoid a $50 late fee
Guest Fees 2017:You will receive a separate paper invoice for 2017 guest passes this year.
Please make sure that is paid as soon as possible and before Opening Day at the very latest.
For summer of 2018, we will sell guest credits online. Guest credits must be purchased in advance of bringing guests to the pool. You will need to purchase guest passes before you arrive to the pool. No money can be accepted at the pool. Guest credits will immediately be added to your account and available when you bring a guest to the front desk.
For returning members – we are in the process of updating all Guest Credits in the system and expect to have that completed by the end of March. At that point in time, you will either have Guest Credits remaining from 2017 that you did not use and will carry over into 2018; or, you will have a balance that needs to be paid. We will include more detail on this in the next newsletter.
Inactive Membership: If you don’t plan to use the pool this summer you can inactivate your account by logging in, updating your account information and then choosing the Inactive status. Please let us know as soon as possible if you plan to become inactive so that we can give your spot to a new family who is waiting for a spot. When you return, we will have a separate waitlist which will give inactive members first priority to the pool.
Honorary Membership: If you have been an active member of the club for 20 years and are at least 62 years of age, you may apply to become an Honorary Member. As an Honorary Member, you and one other qualified adult in the same household receive a 50% reduction in your annual dues. Honorary Members enjoy full access to the Club’s facilities and activities but would no longer be voting members of the Club and forfeit any potential cash out from their initiation fee. HMSTC Emails in Junk Mail
One challenge we’re still working through is that many of our emails ending up in junk mail or promotional mail. Please be diligent about checking spam and junk folders for our emails, as well as following us on Facebook, Twitter or Instagram and the Website. Everything you need to know will always be posted there!

We will be using our social media platforms to share information on pool happenings, social events and member updates throughout the season. Long-Term Planning and Capital Campaign Committees
As many of you know, our club, like many others in the Northern Virginia Swim League was originally constructed over 50 years ago. This unique network of neighborhood pools is an unsung jewel of living in this area, and we are proud of the history and community at Hollin Meadows. However, 53 years is an extremely long life for a pool, and despite meticulous maintenance, our physical plant and infrastructure are reaching their end of life. We simply cannot resurface the pool again. Already we have seen several pools in the area either demolish and replace their pools or significantly reconstruct them.
To get ahead of the process, we have started the process of building a long range planning committee to look toward the eventual replacement of all of our aging facilities, including the pool itself, the tennis courts, and the bathhouse. This committee currently consists of members with architecture or engineering expertise, as well as several current board members. We hope to expand both the activities of the committee and the participants during the offseason, and set timeline and budget outline for any future capital improvements. As we have discussed in the past, at over 50 years of age we will have to replace our pool in the very near future. All the pools in our area are facing similar issues and there is much we can learn from them. One lesson is to plan early and have a broad representation of our membership involved in the process. Because we see the pool planning and the club financing as two complex issues we have created two committee’s to lead the investigations into each.
The Long Term Planning Committee (LTPC) will make recommendations to the board for the replacement of the pool and for other purposes, including familiarizing itself with the relevant state and county codes, processes and regulations required to meet all standards necessary to obtain a permit to build a new pool to replace the current facility. In addition, the LTPC will establish a system of membership hearings, surveys and open houses to receive membership suggestions and ideas to be the basis for any recommendations they may put forward. This will be a multi-year process.
Capital Campaign Committee (CCC) will identify funding alternatives and plans to finance the eventual replacement of our current pool in close interaction with the Long-Term Planning Committee. The committee will familiarize itself with the methods other clubs in and around our area have used to finance large capital construction projects, and establish a system of membership hearings, surveys and open houses to receive membership suggestions and ideas to be the basis for any recommendations they may put forward.
Committee Membership: We continue to look for specialized expertise on the Long-Term Planning Committee — including an Attorney (preferably familiar with state & local laws and tax law), marketing experience, and fund-raising expertise. It’s never too early to start planning for summer swim team! Swim Team Registration opens April 22nd and there will be an opportunity for swimmers to try-on suits at MV Rec Center from 5:00-6:00pm (before winter swim practice). New to HMSTC? Family Friendly Spring Social
We know we’re rushing it, but we just can’t wait for Summer! Join us on Sunday, April 22ndfrom 2 to 5:00 pm for fun in the moon bounce, activities and crafts for our younger members and food and drinks for the whole family. Stay tuned for more information from Liza Sickler, our social chair.
Grounds Workday and Social
A tradition at our community pool is for our members from kids to seniors to lend a hand to move some mulch and get our gardens and grounds in tiptop shape. Add in some BBQ and beverages and you have our grounds workday. It is a great way to feel like part of the club, see friends you haven’t seen all winter and get a little dirt on your hands. Our grounds workday will be Sunday, May 6th this year (10:00 a.m, to 4:00 p.m.) and we look forward to seeing everyone there. Details from our new Grounds Chair Chris Crowell will come later this spring.
Recruit New Members!
Our membership is getting close to our 300-member max, so now is the time to tell family, friends and new neighbors about our Club and ask them to join. While we are centered around Kirkside, Hollin Hills, and Hollindale, Hollin Meadows is a unique club and we don’t have a geographic/neighborhood limit to our membership like many surrounding clubs. Therefore, we have members that hail from Delray and Rosemont, Old Town, Wellington, Waynewood, Hollin Hall, Riverside Gardens, and Stratford Landing all the way down to Yacht Haven. This unique “community” enables us to have a diverse membership, and has allowed me to meet great families I would not have known otherwise.
We are a fun, active club, and it is great place to raise a family. If you know people that are interested, please have them reach out to Ryan Kennedy, at firstname.lastname@example.org and we will make sure they have the latest information.
